“I can’t print from Outlook anymore.”

Printing and scanning, sorted from the Microsoft 365 side.

Most printing and scanning reports are a driver, queue, or connection issue that the desk can help sort through. A few need the printer’s own hardware or network owner instead—this guide names both.

Support area

Printing from Microsoft 365 apps

A document won’t print, or prints incorrectly, from Outlook, Word, or Excel.

Representative starting points

  • A print job stuck in the queue
  • Wrong or missing printer in the app’s print dialog
  • Formatting that looks different once printed
  • A driver that needs reinstalling after an update

Support area

Scanning & scan-to-email

A scan won’t reach an inbox, or the scanner isn’t recognized.

Representative starting points

  • Scan-to-email not arriving at the expected mailbox
  • A scanner missing from the device list
  • Scan quality or format questions for a shared workflow

Support area

Shared & network printers

A printer that used to work for the team has stopped.

Representative starting points

  • A shared printer disappeared from one person’s device
  • One user affected while the rest of the team is fine
  • A new starter never had the shared printer added

Where the lane changes

Desk

Driver, queue, and app-side setup

Reinstalling a driver, clearing a stuck queue, or connecting an already-configured printer to a new device or user.

Desk

Scan-destination configuration

Confirming or adjusting where a shared device’s scan-to-email workflow delivers, within the desk’s access.

Hardware owner

Physical repair and consumables

Toner, parts, physical faults, and warranty service belong to the printer or office-equipment vendor.

Network owner

New shared-printer infrastructure

Installing a new network printer or redesigning how printers are shared across the office is project work.

Common questions

Software fix, or a call to the vendor.

Will the desk fix a printer that is physically broken?

No. Physical repair, toner and consumables, and hardware replacement sit with your printer or office-equipment vendor. The desk can help confirm the problem is not a driver or software setting first.

Can the desk set up a brand-new network printer?

Connecting an existing, already-configured printer to one more person’s device is a routine desk request. Designing or installing new network printer infrastructure is separate project work.

Our scan-to-email stopped working for everyone at once—what changed?

A change that affects every user of a shared device usually points at the device configuration or its email connection rather than one person’s account. Say who is affected so the pattern is visible from the first message.
