“Can we just add our accountant as a guest?”

Working with people outside your tenant, without guessing.

Guests in Teams, external links on a file, and shared mailboxes used for outside collaboration are everyday requests once the person, the resource, and the reason are named clearly.

SharePoint & OneDrive external sharing

A file or folder needs to reach someone outside your tenant.

Representative starting points

  • A sharing link that needs to go to an external recipient
  • Confirming whether a link is still active
  • A file that an external partner says they can’t open

Support area

Shared mailboxes for outside collaboration

A team needs one address for working with external partners.

Representative starting points

  • Access to an existing shared mailbox for a new team member
  • A question about who currently has access to a shared mailbox

Where the lane changes

A named request differs from a policy decision.

Desk

Add or check a specific guest

A named person, a stated business reason, and an identifiable requester make this a routine access change.

Desk

Confirm or reshare a specific link

Checking whether an existing link is active, or issuing a new one to the same recipient, stays within everyday support.

Governance

Set the default sharing policy

Deciding whether external sharing is on or off by default, and for whom, is an information-governance decision.

Governance

Design a guest lifecycle policy

Automatic guest expiry, review cycles, and compliance rules belong to a tenant-wide policy programme.

Common questions

Who can request what, and who decides policy.

Can anyone add a guest to a meeting or Team?

Adding a specific, named guest for a stated business reason is routine. It should still be requestable back to a person on your team, not an anonymous or automatic invite.

Who decides our default external-sharing settings?

Day-to-day guest and link requests are desk work. The organization-wide default for external sharing and guest lifecycle is a governance decision made by your tenant owner.

What if an external partner says a link doesn’t work?

Confirm the link hasn’t expired and that the intended recipient matches who it was shared with—most reports resolve at that point.
